Q. How can my institution initiate a request to borrow works of art from the NGC collection?
A. Requests must be made directly to the general director Jean-François Bélisle, in the form of a letter. A PDF version of the letter should be emailed to [email protected].

Q. What should our loan application contain?
A. The request must include the title and dates of your exhibition, description of the exhibition, associated publications, additional locations and dates if applicable, information about the requested works (artist, title, date, media, etc.) and a staff contact.
Our loan evaluation process requires all sites to provide Standard Installation Reports (SFRs) and humidity and temperature charts (in graph form only). The graphics must show the conditions prevailing in the galleries in which the NGC works will be exhibited and must reflect the same season in which the loans will be exhibited. Please note that the requesting facility is also responsible for submitting SFRs and humidity and temperature tables for all proposed tour locations.
Q. Why do we need to submit a Standard Facility Report (SFR) for each loan application?
A. An LICO is requested for each loan, to ensure that the NGC is working with the most current information available about the borrower's facilities. Examples of key information include items such as any construction taking place during the loan period, upgrades or replacement of critical systems (climate or security systems), significant changes in resources available to manage the loans , changes in geographic profile (natural disasters). These factors impact the assessment of loan risks.
Q. When should you receive our loan application?
A. We require the following minimum deadlines before the opening date of your exhibition, depending on the number of works:
- 1 to 10 works: 12 months
- 10+ jobs: 18 months
Shorter deadlines will designate your request as “urgent”. Also note that more complex artwork may require a delivery time of more than twelve (12) months, so staff can accurately evaluate and prepare for a potential loan.
